Tools Menu Item Features

 

 

 

Give'em a Break's Tools menu offers various different menu item features. These features are designed to customize and configure the shift scheduler for employee break operations during the workday shift.

Options...

The Options... menu item displays the Options & Settings features window.

Modify Break Start Times

The Modify Break Start Times menu item displays the Modify Break Start Times feature.

Clone First Break Assignments

The Clone First Break Assignments menu item displays the Clone First Break Assignments feature.

Reset Current Position and Graph

The Reset Current Position and Graph menu item features includes the sub-menu item features, First Break, Lunch Break, Last Break and All Breaks. These features are designed to give the Give'em a Break operator choices to reset the main dashboard interface. These convenient reset tools will prepare the shift scheduler for the start of the new workday shift. Any employee breaks that are in progress or completed will be reset to break pending. Any employee who's break was in progress at the time of the reset, will have their current position restored to the job position that they were assigned to when they started their First, Lunch or Last Break. Any Relief Employee who was providing a relief break to an employee, will have their current position restored to the job position that they were assigned before they started their relief break. Please note: the Manual Tracking Mode log, Automatic Tracking Mode log and the Email Notifications log will not be reset (not cleared) when the Reset Current Position and Graph menu item features are used.

Reset Scheduler for New Shift

The Reset Scheduler for New Shift menu item feature is designed to reset all employees First Break, Lunch Break, Last Break columns in the main dashboard simultaneously. This feature will prepare the shift scheduler for the start of the new workday shift. Any employee breaks that are in progress or completed will be reset to break pending. Any employee who's break was in progress at the time of the reset, will have their current position restored to the job position that they were assigned to when the started their First, Lunch or Last Break. Any Relief Employee who was providing a relief break to an employee, will have their current position restored to the job position that they were assigned before they started their relief break. Please note: the Manual Tracking Mode log, Automatic Tracking Mode log and the Email Notifications log will be reset (cleared) when the Reset Scheduler for New Shift feature is used. Lastly, the Reset Scheduler for New Shift will also clear any information added to the Notes section that is located in the Final Break Report Branding window since those notes applied to the previously completed workday shift.

Save Scheduler as Template

The Save Scheduler as Template feature was created to strategically save all employee current assignments (break start times, job positions, relief employees, etc...) and the current state of the main dashboard interface as a single template. The saved template can then be conveniently restored and ready for operational use at the start of a new workday shift. Once a template is saved, that template will be automatically overwritten when a more recent template is saved. The most recent template saved will be the template that is restored when activating the Restore Scheduler Template feature. The Save Scheduler as Template feature is designed to only save the current settings and employee assignments on the main dashboard interface. The feature will not save the current settings in the Options & Settings window or any other window in the shift scheduler. You can backup an entire shift scheduler including a saved template at any time by using the Duplicate Shift feature or the Backup All Shift Schedulers feature.

Important: As changes occur with daily employee break management operations and as your business model evolves, you can Save a new Template as needed. The most recent template saved should include all up to date employee names, their job positions and other shift assignments. Example #1: You hired a new employee and added that employee to the shift scheduler. You have assigned break start times, multiple job positions and Relief Employees to this new employee and a different existing employee has just completed job training at another job position and this employee has now been assigned to work this job position throughout the workday shift. Now, Save the Scheduler as a new Template.

Example #2: The day is Monday. Prior to the start of the workday shift, you have scheduled employee break start times, job positions, relief employee assignments, inherit job positions assignments, employees changing job positions after one or more break completions and so forth for all employees who are scheduled to work that day. At this point, no one has started a break and the main dashboard interface is ready for Manual Tracking Mode or Automatic Tracking Mode operations. The next step before the workday shift starts is to save your shift scheduler configuration by using the Save Scheduler as Template feature. As the workday shift progresses, employees will take their breaks, provide relief breaks to different employees, assume the same job positions, work at other job positions etc... At the end of the workday shift, many different employee assignments have completed and many of the assignments are not the same for employees as they were before the workday shift started. In addition, the Graph on the main dashboard interface now displays (color of green) that all employees have completed their breaks for the Monday shift. It is now Tuesday, you can then use the Restore Scheduler as Template feature to restore the template in preparation for the start of Tuesday's workday shift.

Restore Scheduler as Template

The Restore Scheduler as Template feature is an important time-saving tool which will easily prepare shift scheduler operations for the new workday shift.

Example: The day is now Tuesday and the state of all employee assignments, employees current positions and so forth on the main dashboard interface remains the same as described at the end of the Save Scheduler as Template feature Example: section displayed above.

Instead of experiencing the time consuming cumbersome process of manually having to reset all current end of workday shift employee assignments back to their original default assignments, the Restore Scheduler as Template feature will easily and automatically manage those tasks for you. By restoring the most recently saved scheduler template, you are immediately ready and conveniently prepared to manage all employee break operations again throughout the Tuesday workday shift.

In other words:

1. Manually prepare the shift scheduler for the workday shift.

2. Save the Scheduler as a Template.

3. Manage break operations using the Manual Tracking Mode or Automatic Tracking Mode features throughout the shift.

4. Before the start of the next workday shift, Restore the Saved Template that was previously created in step 2 above.

5. Repeat steps 3 and 4 for each workday shift activities.

Stop Sending Email Notifications

The Stop Sending Email Notifications feature will immediately stop the delivery of any active outgoing email notifications that are being sent to Employees, Relief Employees and/or Management. Click the Stop Sending Email Notifications menu item feature to immediately halt the delivery of outgoing email notifications. Here are the various email notifications that Give'em a Break provides:

Manually or automatically send emails to employees to start their breaks

Manually or automatically send emails to employees to start their Relief breaks

Manually or automatically email the Final Break Report to management

Manually email All Shift Schedulers Reports to management

Manually email a broadcast message to all employees and management simultaneously.
