Shift Scheduler Break Configuration Examples

 

 

Give'em a Break offers many different versatile break configurations which provides management the needed requirements to successfully schedule various types of employee breaks throughout the workday shift. Any of these configurations can be utilized in Manual Tracking Mode and Automatic Tracking Mode. Please view these Shift Scheduler Break Configuration Examples:

No Breaks Assigned - An employee is not scheduled to take any breaks throughout the workday shift. This typically occurs when an employee holds over from the previous shift and doesn't work enough hours to warrant a break or the employee works less than 2 hours for their assigned shift. Example: Employee P does not have any scheduled breaks as exhibited by the absence of check marks (no activation) to the top/left area in each of the First, Lunch and Last Break columns as shown below.

However, Since Employee P is still working during the shift, they are available to provide a break to another employee. In this example, Employee P has been scheduled to provide a 15 minute relief break to Employee M when Employee M takes their First Break at 10:00AM as shown below.

 

Self Relief Break - An employee will take their own break and that employee will not be relieved by a different employee. Example: Employee D's First Break start time is at 10:00AM. Employee D is assigned to the Cashier job position.

At 10:00AM, Employee D will leave their assigned position of Cashier and start their First Break. At this point, no one is staffing Employee D's Cashier job position.

At 10:15AM, Employee D's First Break has ended and Employee D will return to the Cashier job position.

 

Single Relief Break - One employee will take their break and that employee will be relieved by another employee. Example: Employee S's First Break start time is at 10:00AM. Employee S is assigned to the Sous Chef job position. Employee S's Relief Employee is Employee L.

At 10:00AM, Employee S will leave their assigned position of Sous Chef and start their First Break. At the same time, Employee L will leave their Line Cook position and fill the Sous Chef position.

At 10:15AM, Employee S's First Break has ended and Employee S will return to the Sous Chef job position while Employee L returns to the Line Cook position.

 

Mutual Relief Break - Two employees assigned to the same or different job positions will relieve each other when each employee takes their break. Example: Employee H's First Break start time is at 10:00AM. Employee H is assigned to the Host job position. Employee H's Relief Employee is Employee T.

Employee T's First Break start time is at 10:16AM. Employee T is assigned to the Shift Manager job position. Employee T's Relief Employee is Employee H.

At 10:00AM, Employee H will leave their assigned position of Host and start their First Break. At the same time, Employee T will leave their Shift Manager position and fill the Host position.

At 10:15AM, Employee H's First Break has ended and Employee H will return to the Host job position while Employee T returns to the Shift Manager position.

At 10:16AM, Employee T will leave their assigned position of Shift Manager and start their First Break. At the same time, Employee H will leave their Host position and fill the Shift Manager position.

At 10:31AM, Employee T's First Break has ended and Employee T will return to the Shift Manager job position while Employee H returns to the Host position.

 

Inherit Position Relief Break - One employee's relief employee will inherit the employee's job position when that employee completes their break. Example: Employee I's First Break start time is at 10:00AM. Employee I is assigned to the Chef job position. Employee I's Relief Employee is Employee J. Employee I's Relief Employee Inherit feature is activated (check marked). Employee J 's is assigned to the Line Cook job position.

At 10:00AM, Employee I will leave their assigned position of Chef and start their First Break. At the same time, Employee J will leave their Line Cook position and fill the Chef position.

At 10:15AM, Employee I's First Break has ended and Employee I will return to the Chef job position while Employee J continues to remain at the Chef position instead of returning to their Line Cook position because the Inherit feature is designed to increase coverage at job positions depending on demand and to also conveniently move employees to different job positions for training purposes or for other management reasons throughout the workday shift.

 

Trade Positions Relief Break - One employee's relief employee will inherit the employee's job position when that employee ends their break. Simultaneously, the employee who ended their break will move to the relief employee's job position. Example: Employee I's First Break start time is at 10:00AM. Employee I's Current Position is the Chef job position. Employee I's First Break Position has been changed to Line Cook. Employee I's Relief Employee is Employee J. Employee I's Relief Employee Inherit feature is activated (check marked). Employee J 's is assigned to the Line Cook job position. *The First Break setting located in the Automatically Change Current Position feature must be activated (check marked). This feature is located in the Options... & Settings window.

At 10:00AM, Employee I will leave their assigned position of Chef and start their First Break. At the same time, Employee J will leave their Line Cook position and fill the Chef position.

At 10:15AM, Employee I's First Break has ended and Employee I's Current Position will change to Line Cook while Employee J continues to fill the Chef position instead of returning to their Line Cook position.


Pair Relief Break - Four employees assigned to the same or different job positions will split into pairs. The first two employees will take their break at the same start time and when those employees end their breaks the other two employees will take their break at the same start time and then end their breaks. Example: Employees M, N, P and R are all assigned to the Waitress job position. Employees M and N's First Break start time is at 10:00AM.

Employees P and R's First Break start time is at 10:15AM.

At 10:00AM, Employees M and N will leave their assigned position of Waitress and start their First Break while Employees P and R will continue to provide coverage at the Waitress position.

At 10:15AM, Employee M and N's First Break has ended and Employee M and N will return to the Waitress job position and provide coverage at the Waitress position while Employees P and R leave their assigned position of Waitress and start their First Break.

At 10:30AM, Employee P and R's First Break has ended and Employee P and R will return to the Waitress job position.

 

Staggered Relief Break - Multiple employees assigned to the same or different job positions and each employee will take their break one after the other which ensures coverage at that job position during breaks. Example: Employees J, K and L are all assigned to the Line Cook job position. Employee J's First Break start time is at 9:45AM. Employee K's First Break start time is at 10:00AM. Employee L's First Break start time is at 10:15AM.

At 9:45AM, Employee J will leave their assigned position of Line Cook and start their First Break while Employees K and L continue to provide coverage at the Line Cook position.

At 10:00AM, Employee J's First Break has ended and Employee J will return to the Line Cook job position. Simultaneously, at 10:00AM, Employee K will leave their assigned position of Line Cook and start their First Break while Employees J and L continue to provide coverage at the Line Cook position.

At 10:15AM, Employee K's First Break has ended and Employee K will return to the Line Cook job position. Simultaneously, at 10:15AM, Employee L will leave their assigned position of Line Cook and start their First Break while Employees J and K continue to provide coverage at the Line Cook position.

At 10:30AM, Employee L's First Break has ended and Employee L will return to the Line Cook job position.

 

Utility/Rover Relief Break - Multiple employees assigned to the same or different job positions and one employee will provide a relief break to each of those employees. Example: Employee H is assigned to the Host job position. Employee D is assigned to the Cashier job position. Employee U is assigned to the Coat Check job position. Employee H's First Break start time is at 9:45AM. Employee D's First Break start time is at 10:00AM. Employee U's First Break start time is at 10:15AM. *Employee T (Shift Manager) will provide the relief breaks to these three employees.

At 9:45AM, Employee H will leave their assigned position of Host and start their First Break. At the same time, Employee T will leave their Shift Manager position and fill the Host position.

At 10:00AM, Employee H's First Break has ended and Employee H will return to the Host job position while Employee T momentarily returns to their Shift Manager position. Simultaneously, at 10:00AM, Employee D will leave their assigned position of Cashier and start their First Break. At the same time, Employee T will leave their Shift Manager position and fill the Cashier position.

At 10:15AM, Employee D's First Break has ended and Employee D will return to the Cashier job position while Employee T momentarily returns to their Shift Manager position. Simultaneously, at 10:15AM, Employee U will leave their assigned position of Coat Check and start their First Break. At the same time, Employee T will leave their Shift Manager position and fill the Coat Check position.

At 10:30AM, Employee U's First Break has ended and Employee U will return to the Coat Check job position while Employee T returns to their Shift Manager position.

 

Rotating Job Positions - One (or more) employee will take their own breaks (Self Relief) and move to different job positions throughout the workday shift. Example: Employee H's First Break start time is at 10:00AM. Employee H's Current Position is the Host job position. Employee H's First Break Position has been changed to Cashier. Employee H's Lunch Break start time is at 12:00PM. Employee H's Lunch Break Position has been changed to Coat Check.  Employee H's Last Break start time is at 2:00PM. Employee H's Last Break Position has been changed to Shift Manager. *The First, Lunch and Last Break settings located in the Automatically Change Current Position feature must be activated (check marked). This feature is located in the Options... & Settings window.

At 10:00AM, Employee H will leave their assigned position of Host and start their First Break.

At 10:15AM, Employee H's First Break has ended and Employee H's Current Position will change to the Cashier job position.

At 12:00PM, Employee H will leave their assigned position of Cashier and start their Lunch Break.

At 12:30PM, Employee H's Lunch Break has ended and Employee H's Current Position will change to the Coat Check job position.

At 2:00PM, Employee H will leave their assigned position of Coat Check and start their Last Break.

At 2:30PM, Employee H's Last Break has ended and Employee H's Current Position will change to the Shift Manager job position.

*As shown above, Employee H's Last Break Position was changed to Shift Manager. Employee H could have been assigned to any job position and Employee H could have also returned to their original job position of Host for the remainder of the shift as shown below.
